Business process automation connects a business event to a defined action: a purchase request reaches the right approver, an accepted order enters ERP, or a support case is assigned with its customer history. Its value depends on completing the process correctly, including exceptions. Moving a confusing spreadsheet into software does not resolve unclear ownership or inconsistent rules.

For a company choosing between ERP configuration, Odoo automation and custom development, start with the work that needs to change. This guide provides a way to select a first workflow, compare implementation options and evaluate the result.

Which process should you automate first?

Choose a recurring process with identifiable inputs, a responsible owner and an outcome that can be checked. Record how often it runs, who handles it, how long it takes and what causes rework. Distinguish waiting time from time spent working: an approval can take two days while requiring only ten minutes of staff effort.

Purchase requests, sales handovers, document collection, stock synchronization and service scheduling are possible candidates. A useful first project has enough repetition to measure and a manageable number of exceptions. If the team cannot agree when a request is approved, map and resolve that decision before automating it.

Create a one-page workflow brief containing:

  • The event that starts the process and the source system that records it.
  • Required data, validation rules and the person responsible for missing information.
  • Each decision, approval limit, deadline and escalation route.
  • The final record or action that proves completion.
  • Exception handling, cancellation and the person who can correct a mistake.

Use anonymized examples of both successful and failed cases. Screenshots of the normal route alone will miss the work that usually makes an automation project difficult.

ERP configuration, Odoo rules or custom software?

Configure the existing ERP when its standard workflow covers the business requirement. This keeps related records and permissions in one system. Ask the implementer to demonstrate the process with your roles and data before assuming a new application is needed.

Use supported automation features for bounded rules within an application. Odoo Studio, for example, documents automation rules built around triggers, conditions and actions. Select the relevant fields and conditions carefully so that a record change does not cause unintended repeated actions. Confirm the available features against the actual Odoo version and deployment. Odoo automation rules.

Connect existing systems when each application does its job but staff repeatedly copy data between them. The scope should include record matching, permissions, failed transfers and reconciliation, not just an API connection. Check account access, provider limits and integration support before estimating delivery.

Build custom software when the core process has rules, interfaces or coordination needs that the available systems cannot reasonably support. Compare development, maintenance and upgrade responsibilities with the alternatives. Our custom software decision guide explains how to make that comparison.

Example: purchase request to confirmed order

Consider a hypothetical company that currently collects purchase requests by email. A proposed workflow records the item, quantity, department and required date, checks that the request is complete, and routes it according to an agreed approval matrix.

The approver should see the information needed for the decision. A rejected request returns with a reason; an unavailable approver has a documented delegate or escalation path. Only the appropriate approved state permits the next action. The workflow must define what happens if someone changes the amount or supplier after approval.

An ERP integration then creates or updates the intended record and stores its identifier against the original request. Staff need a way to see whether the transfer succeeded. If a timeout occurs after the ERP accepted the request, retrying must not create a second purchase order.

AWS explains why retryable APIs need a way to recognize repeated requests and avoid duplicate side effects. For this workflow, specify the identifier and duplicate-handling contract with the integration provider. AWS guidance on safe retries.

This is an illustrative design, not a Tarawud customer result. The same method can be applied to an order handover, onboarding checklist or service request, with different permissions and acceptance rules.

What happens when the happy path fails?

Require a visible exception queue with an owner. A failed transfer should show its business reference, failure reason, retry status and next action. Technical logs help developers; operations staff need to know which customer, order or request is affected.

Decide how to handle duplicate messages, missing records, unavailable providers and changes arriving out of order. Define a reconciliation report that compares source records with destination records. Agree whether correcting the source should trigger a new attempt or require review.

Preserve a record of who approved, rejected or changed an important action. Limit access by role, separate testing from live operations and document how credentials are managed. A workflow that saves typing but makes mistakes harder to trace is not a successful outcome.

How to measure time saved without overstating the return

Compare the same process before and after a pilot. Track completion time, active handling time, exception rate and the share of cases requiring manual correction. Record the observation period and case mix so that a quiet week is not compared with peak demand.

A planning calculation is: monthly cases multiplied by the reduction in handling minutes, divided by 60, minus monthly exception and support hours. For example, 1,200 cases with a reduction from six to two minutes release 80 handling hours; allowing 12 hours for exceptions and support leaves 68 hours. These are hypothetical inputs, not a promised saving.

Released capacity is not automatically a cash saving. Include subscriptions, implementation, maintenance, training and the remaining manual work when evaluating the business case. Measure fewer errors or faster service separately instead of converting every benefit into an unsupported revenue claim.

What should the supplier deliver?

Request a process map, field mapping, access matrix, acceptance cases, rollout plan and operating instructions. Name the owner of each external connection. Agree how changes to the ERP, approval policy or provider API will be handled after launch.

Test at least a complete normal case, a rejected approval, a repeated message, an unavailable integration and a correction after failure. Pilot with a limited group and retain a documented way to pause the automation while work continues safely.

For processes with high volume or several systems, our enterprise software planning guide covers workload, resilience and release requirements.
